2. What We Collect

We collect information you provide directly and information generated through your use of the platform:

• Account data: email address, display name, age group (not exact date of birth)
• Profile data: biography, location (city/state), occupation, social links — only what you choose to provide
• Genealogical data: biographical information you submit about family members
• AI conversation data: messages sent to AI avatars and the World Guide feature
• Usage data: pages visited, tasks completed, XP earned, login timestamps
• Payment data: processed by Stripe — we do not store card numbers
• Technical data: IP address, browser type (via Cloudflare infrastructure)

3. How We Use Your Data

• To operate and improve the family archive platform
• To provide AI avatar and World Guide features (conversation data improves the knowledge base)
• To send email notifications you have opted into (Resend)
• To process voluntary contributions (Stripe)
• To enforce parental controls for minor accounts
• To comply with legal obligations

4. Third-Party Services

We share data with the following processors:

• Cloudflare — hosting, CDN, authentication, AI inference, database storage
• Anthropic — Claude API for AI avatar conversations (when Cloudflare AI is insufficient)
• Resend — transactional email delivery
• Stripe — payment processing for contributions and subscriptions
• FamilySearch — optional genealogical record syncing (requires your explicit authorization)

We do not sell your data to third parties. We do not serve advertisements.

5. AI Conversations

When you interact with AI avatars or the World Guide, your messages may be used to improve the platform's knowledge base with your consent. You can opt out in your profile settings. Conversations with minor accounts are subject to additional parental controls and oversight.

6. Data Retention

• Active account data: retained while your account is active
• Conversation data: retained for 12 months then pruned, unless saved as knowledge fragments
• Consent records: retained permanently (legal requirement)
• Payment records: retained as required by financial regulations

7. Your Rights

Depending on your location, you may have rights to access, correct, delete, or export your data. To exercise these rights, email privacy@xops360.com. We will respond within 30 days. Wisconsin residents have rights under Wisconsin consumer protection law. EU/EEA residents have rights under GDPR.

8. Children's Privacy

For users under 13, see our Children's Privacy Policy which governs under-13 data handling in compliance with COPPA.

9. Security

We use Cloudflare Access (Zero Trust) for authentication, HTTPS for all data in transit, and Cloudflare's infrastructure security for data at rest. No system is 100% secure — please contact us immediately if you believe your account has been compromised.

10. Changes

We will notify you of material changes via email with 30 days notice. Continued use after the effective date constitutes acceptance.
